Privacy Policy for RSI Time Manager

This Privacy Policy describes how Retail Systems Inc. ("RSI," "we," "us," or "our") collects, uses, and protects information when employees use the RSI Time Manager application ("the App"). RSI Time Manager is an internal application used exclusively by employees of Retail Systems Inc. for managing paid time off (PTO), overtime, work schedules, and related time-management functions.
1. Who this policy applies to
This policy applies only to active employees of Retail Systems Inc. who have been authorized to use the App. The App is not available to the general public.
2. Information we collect
When you use the App, we collect and store the following information:
- Account information: your name, work email address, role (Employee, Department Manager, or Admin), and assigned department.
- Employment-related information: your work schedule, PTO balance, banked PTO balance, and balance caps.
- App activity: overtime submissions, time-off requests, schedule swap requests, approvals and denials, manager notes, and the timestamps and user IDs associated with these actions.
- Authentication data: login credentials managed by our identity provider.
We do not collect location data, device contacts, photos, microphone or camera input, or any data outside what is required for the App to function.
3. How we use your information
We use the information collected only for the following purposes:
- To allow employees to submit overtime and request time off.
- To allow managers and administrators to approve or deny those requests.
- To calculate and display PTO and banked PTO balances.
- To generate internal reports, including payroll-related reports for the Accounting department.
- To maintain audit and approval records for compliance and recordkeeping.
4. Who can see your information
Access to information in the App is restricted by role:
- Employees can see only their own data, except for limited team information (such as coworker names and schedules) needed for schedule swaps.
- Department Managers can see information for employees assigned to their department.
- Administrators can see information across the company.
We do not sell, rent, or share employee information with third parties for marketing or advertising. The App contains no advertising.
5. Service providers
The App is hosted and maintained using third-party platforms that help us operate the service, including our application hosting provider. These providers may have access to data only to the extent necessary to perform their services and are required to keep it confidential.
6. Data retention
We retain employee data for as long as it is needed for business, legal, payroll, and compliance purposes. When an employee leaves Retail Systems Inc., their account is deactivated, and their historical records may be retained for recordkeeping in accordance with applicable laws and company policy.
7. Security
We use reasonable administrative, technical, and physical safeguards to protect employee information from unauthorized access, disclosure, alteration, or destruction. No system is completely secure, but we work to maintain industry-standard protections.
8. Your choices
Because the App is an internal employment tool, use of the App is a condition of employment in roles that require it. Employees who have questions about the data stored about them, or who want to request a correction, should contact RSI's Human Resources department or system administrator.
9. Children's privacy
The App is not intended for and is not used by anyone under the age of 18.
10. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this policy reflects the most recent revision. Material changes will be communicated internally to employees.
